Why this paperwork matters more than it seems
The federal government (through the FMCSA) and the states make sure every commercial truck on US roads is registered, insured and compliant with safety regulations. Missing just one of these numbers or filings exposes you to:
- Out-of-Service Orders: troopers can pull you off the road and immobilize your truck.
- Federal fines: inactive USDOT or expired MCS-150 = fines starting at $1,000 and going up fast.
- Insurance cancellation: carriers cancel policies if your federal filings aren't current.
- Brokers that won't load you: without valid MC Authority, loadboards block you.
The good news: once set up, the system runs on autopilot with clear annual renewals. The bad news: getting it wrong at the start can cost you months out of service. That's why doing it right the first time matters.
π What you need based on your operation
- Intrastate Texas only: USDOT (TXDOT) + state insurance filings.
- Interstate with your own authority: USDOT + MC Number + BOC-3 + UCR + IFTA (if you cross 2+ states).
- Under lease with a motor carrier: just CDL and clean MVR β the motor carrier handles their own permits.
- Hot Shot: USDOT + MC + IFTA if hauling third-party freight interstate with GVWR >26,001 lb.
